Learn how to use Timestamped

Timestamped includes a built-in task system to help you manage deadlines across investigations. Whether you need personal reminders, case-specific action items, or org-wide broadcasts, tasks keep your team organized and accountable.


Task Types

Tasks in Timestamped fall into six categories, each designed for a different scope of work:

  • Personal: Private tasks visible only to you. Use these for your own reminders, follow-ups, and to-do items that don't need to be tied to your organization.
  • Work (Org Personal): Personal tasks tied to your organization. Visible only to you, but scoped to your current org so they filter correctly when you switch organizations.
  • Organization-Wide: Tasks visible to all team members in the organization. Use these for administrative items like renewing licenses, updating company policies, or shared action items.
  • Assigned: Tasks assigned to a specific team member by another user or through a broadcast. These appear in the assignee's task list with the assigner's name and any relevant context.
  • Client: Tasks associated with a client rather than a single case. Helpful for tracking client-level deliverables like status reports or billing follow-ups.
  • Case: Tasks linked to a specific case. These are visible to anyone with access to the case and are useful for tracking investigation-related action items (e.g., "Review surveillance footage from Tuesday").

Creating Tasks

Follow these steps to create a new task:

  1. Navigate to the Tasks section from the main navigation
  2. Click the "New Task" button
  3. Enter a title that clearly describes the action item
  4. Select the task type (Personal, Case, Client, or Organization)
  5. If applicable, link the task to a specific case, client, or contact using the dropdown selector
  6. Set a priority level and optional due date
  7. Add any notes or details in the description field to provide additional context
  8. Click "Create Task" to save

Task Views

Timestamped offers two ways to view and manage your tasks:

  • List View: A sortable, filterable table of all your tasks. You can filter by status, priority, scope, and assignee. A search bar lets you find tasks by title, notes, case name, or client name. Each row includes quick actions: complete or reopen the task, star it for quick access, or delete it.
  • Calendar View: A monthly calendar that displays tasks on their due dates. Click any task to see a quick-action popover. Tasks without a due date appear in a separate section below the calendar. Today is highlighted, overdue dates are shown in red, and scope types are color-coded for quick scanning.

Task Detail Page

Click any task to open its detail page. The detail view shows the full title, status badge, priority badge, scope, due date, and assignee. If the task is linked to a case, client, or contact, you can navigate directly to that record from the detail page. The full notes field is displayed below the metadata, and actions (complete, reopen, edit, delete) are available from the header.

Each task detail page also shows when the task was created, when it was last updated, and (if completed) the completion timestamp and who marked it done.


Task Statuses

Every task moves through one of four statuses:

  • Pending: The task has been created but work has not yet started.
  • In Progress: The task is actively being worked on.
  • Completed: The task has been finished. Completed tasks are retained for your records and can be reviewed at any time.
  • Cancelled: The task is no longer needed. Cancelled tasks remain visible in your history but are excluded from active views.

Broadcast Tasks (Admin Feature)

Admins and owners can send tasks to all team members at once using the broadcast feature. When a broadcast is created, each recipient receives their own independent copy of the task. This means every team member can mark their copy as complete without affecting anyone else's.

Common uses for broadcast tasks include:

  • Quarterly training requirements
  • Compliance certifications
  • End-of-year reviews
  • Policy acknowledgments

Broadcast Dashboard

Admins can track all broadcasts from the dedicated dashboard at Admin > Broadcasts. The dashboard lists every broadcast with its recipient count, completed count, and completion percentage. Click a broadcast to see a per-recipient breakdown showing who has finished and who still has outstanding items.

Completion badges are color-coded for quick scanning:

  • Green: 100% of recipients have completed the task
  • Amber: 50% or more have completed
  • Gray: fewer than 50% have completed

Privacy Settings

You can control how tasks appear on your dashboard through settings:

  • Hide Personal Tasks on Homepage: When enabled, your personal tasks are hidden from the dashboard task card. This also filters personal task reminder notifications (due soon and overdue) from the dashboard notifications preview.
  • Task Reminders: You can individually toggle due-soon and overdue reminder notifications in your notification preferences.

Starring Tasks

You can star any task for quick access. Starred tasks appear on your Bookmarks page alongside other bookmarked items like cases, evidence, and contacts.
