Learn how to use Timestamped
Notifications
Timestamped keeps you informed about important activity across your cases, team, and organization through in-app notifications and email digests. You can customize exactly what you receive and how you receive it.
Notification Types
Timestamped generates notifications for over 20 event types, organized into the following categories:
Case Activity
- Case assigned: you are added to a case
- Case unassigned: you are removed from a case
- Evidence uploaded: new evidence is added to a watched case
- Evidence shared: evidence is shared with you
- Status changed: a case status is updated (e.g., active to closed)
- Comment added: someone comments on a watched case
- Mention: you are @mentioned in a comment
- Budget alert: a case crosses a budget threshold (default: 50%, 75%, 90%, 100%)
Tasks
- Task assigned: a task is assigned to you
- Task unassigned: a task is removed from you
- Task due soon: a personal task is due within 24 hours
- Task overdue: a personal task has passed its due date
Transfers and Partnerships
- Case transferred: an incoming case transfer requires attention (admin)
- Case shared: a case is shared with your organization (admin)
- Partnership request received: another org requests a partnership (admin)
- Partnership accepted or rejected: response to your outgoing request
Billing (Owner/Admin)
- Payment failed: subscription payment could not be processed
- Payment warning: upcoming payment issue detected
- Account suspended: account suspended for non-payment
Other
- License expiring: a professional license approaches expiration (notifications at 90, 60, 30, and 7 days)
Importance Levels
Each notification carries an importance level that determines how it is styled and whether it triggers an immediate email:
Requires immediate action. Examples: case assignment, payment failure, account suspension.
Important updates that warrant prompt attention. Examples: status changes, task assignments, license expiring.
Routine activity. Examples: evidence uploads, comments, partnership responses.
Informational only, no action needed.
Case Watching
You automatically start watching a case when you create it or are assigned to it. While watching a case, you'll receive notifications for activity on that case (such as new evidence uploads or status changes).
You can manually watch or unwatch any case you have access to. Open the case and look for the watch toggle in the case header. Unwatching a case stops notifications for that case without affecting your access to it.
Email Digests
In addition to in-app notifications, Timestamped can send you email digests that summarize activity so you don't have to check the app constantly.
AM Digest (Morning Briefing)
Sent at your configured time each morning (default 8:00 AM). Includes cases needing attention (deadlines within 3 days, budgets at 75% or above), an overview card for each watched case, and optional contact-joined-platform notices.
PM Recap (Evening Summary)
Sent at the end of your workday (default 5:00 PM). Summarizes today's activity across all watched cases: evidence uploads grouped by uploader, status changes, assignment updates, and comments.
Both digests respect your configured timezone and are delivered at your local time. If you have no watched cases, or there is no content to report, the digest is automatically skipped so you only receive emails when there is something to review.
Immediate Alerts
For time-sensitive events, you can configure immediate email alerts that are sent as soon as the event occurs (rather than waiting for the next digest). The following events support immediate alerts:
- Case assignment or unassignment: know right away when you are added to or removed from a case
- Budget reached or exceeded: get notified when a case hits or passes its budget limit
- Deadline today or overdue: receive a reminder when a case deadline is due today or has passed
Immediate alerts are optional and can be enabled per event type in your notification settings.
Managing Notifications
The bell icon in the navigation bar shows your unread notification count. Click it to see a dropdown preview of your most recent notifications, or visit the full notifications page for the complete list.
- Mark as read: click the check icon on any notification to mark it read, or use the "Mark all read" button to clear everything at once.
- Delete: click the trash icon to remove a notification permanently.
- Navigate: click a notification to mark it read and jump directly to the related case, task, or transfer.
Auto-Expiration
Notifications are automatically deleted 30 days after creation. You do not need to manually clean up old notifications.
Configuring Preferences
You can customize your notification preferences from your Settings page. The following options are available:
- Enable or disable notification types: Choose which events generate notifications for you
- Set digest times: Pick when your AM and PM email digests are delivered
- Configure timezone: Ensure digest delivery times and event timestamps match your local time
- Choose immediate alert events: Select which events trigger instant email notifications
- Set custom budget thresholds: Define at what percentage levels you want to receive budget alerts (e.g., 50%, 75%, 90%, 100%)
To access these settings, navigate to Settings and select the Notifications section.
Task Reminder Privacy
If you enable "Hide Personal Tasks on Homepage" in your privacy settings, personal task reminders (due soon and overdue) are also filtered from the dashboard notifications preview card. You can still toggle task reminders independently in notification preferences.
