Learn how to use Timestamped

Timestamped includes AI-powered features to help you work faster and more efficiently. These features use AI credits from your plan's allocation, with overage billing if you exceed your monthly allowance.

Meet Johnson

Johnson is Timestamped's AI assistant. Named after the classic "just the facts" approach to investigation work, Johnson helps you capture case information quickly without manual data entry. Johnson powers:

  • Voice Intake: Describe a case verbally and Johnson creates it for you
  • Document Intake: Upload documents and Johnson extracts case details
  • Report Generation: Generate narrative content for reports based on case data

Voice Intake

Record a voice note describing a case and Johnson transcribes it into structured case data. This is ideal for field debriefs when you don't want to type on a mobile device.

How It Works

  1. Record: Tap the microphone and describe the case in your own words. Mention the client, subject, location, priority, and any other relevant details.
  2. Transcribe: Johnson converts your audio to text using speech-to-text processing.
  3. Extract Fields: The AI identifies structured data from your transcript (names, addresses, dates, priorities) and maps them to case fields.
  4. Preview Case: A read-only preview case is generated so you can verify the extracted information before committing.
  5. Activate: Convert the preview into an editable draft.
  6. Edit and Publish: Make any corrections, then publish the case for your team.

Preview Mode

AI-generated cases start as read-only previews with a 7-day expiration. Click Activate to convert a preview into a working case. Unactivated previews are automatically removed after 7 days.

Cost

Voice intake typically costs 5-10 credits per recording, depending on length and complexity.


Document Intake

Upload documents (PDFs, images) and Johnson extracts case details automatically. This is useful when you receive intake packets from clients containing case information.

How It Works

  1. Upload: Select up to 20 documents (PDF, JPEG, PNG).
  2. Extract: Johnson analyzes each document and identifies fields like names, addresses, dates, and case details.
  3. Merge: When multiple documents are uploaded, Johnson combines the extracted data into a single set of case fields.
  4. Review: The case form is pre-populated with extracted data. Each field includes a confidence indicator.
  5. Submit: Verify fields, make corrections, and create the case.

Confidence Indicators

Every extracted field includes a confidence score displayed as color-coded badges:

  • Green (High, 0.8+): Johnson is confident. Still worth a quick review.
  • Yellow (Moderate, 0.5-0.79): Review carefully and verify.
  • Red (Low, below 0.5): Johnson is uncertain. Verify or replace before submitting.

Evidence Promotion

Documents uploaded during intake automatically become case evidence. You don't need to re-upload them.

Document intake typically costs 2-15 credits per document, depending on page count and complexity.


Video Analysis

Timestamped offers AI-powered video analysis to help you identify significant moments in surveillance footage without manually scrubbing through hours of video.

Analysis Types

Motion Detection

Identifies time windows where motion occurs in the video. Useful for finding activity in long surveillance recordings. Returns start/end times for each motion event.

Cost: ~2 credits per minute of video

Object Detection

Detects specific objects in video frames: people, vehicles, license plates, packages, and more. Returns timestamped detections with bounding boxes and confidence scores.

Cost: ~5 credits per minute of video

Video Intelligence

Comprehensive analysis using Google Video Intelligence API. Includes label detection, shot changes, explicit content detection, and more. Best for detailed forensic analysis.

Cost: ~15 credits per minute of video

Smart Analysis

Runs motion detection first, then object detection only on motion windows. Most cost-effective option for long recordings with periods of inactivity.

How to Analyze Video

  1. Open the evidence detail page for a video.
  2. Click Analyze or navigate to the Analysis tab.
  3. Select the analysis type you want to run.
  4. Review the estimated cost and your available credits before confirming.
  5. Wait for processing to complete. Results appear on the evidence timeline.

Using Analysis Results

Analysis results are displayed as events on the evidence timeline. You can:

  • Click an event to jump to that timestamp in the video
  • Convert detection events into case moments with one click
  • Filter results by detection type or confidence level
  • Include analysis findings in reports

AI Report Generation

When building reports, Johnson can generate narrative content based on your case data, timeline events, and evidence. This helps you draft professional report text faster.

Report generation typically costs 10-50 credits depending on case size and content complexity.


Template Extraction

Template Extraction uses AI to convert existing PDF reports into reusable report templates. Upload 2 to 6 example PDF reports and the AI analyzes each document independently, then distills the common patterns into a unified report template with placeholders.

How It Works

  1. Upload PDFs: Navigate to Admin > Report Templates > Extract and upload 2 to 6 example PDF reports from past cases.
  2. Phase 1 (Per-Document): Each PDF is analyzed independently. The AI identifies sections, headings, block types, and data fields within each document.
  3. Phase 2 (Distillation): All successful Phase 1 results are compared and the AI identifies the common patterns across all documents. It produces a unified report template with placeholders. At least 2 successful Phase 1 extractions are required for Phase 2 to proceed.
  4. Review: You review the distilled results, edit the template name, description, blocks, and custom fields before saving.
  5. Save: Saving creates the report template and optionally a case template with custom fields and AI detection keywords.

Output

Template extraction can produce two outputs:

  • Report template: A reusable report structure with pre-configured blocks and placeholders that your team can apply when creating new reports.
  • Case template (optional): If the documents suggest a consistent case structure, the AI also produces a case template with custom fields and detection keywords. This template can be selected during case creation to pre-populate fields.

Cost

Template extraction costs approximately (number of documents x 8) + 12 credits. For example, uploading 4 PDFs would cost roughly 44 credits. Credit costs are estimates and may vary based on document complexity.


Case Templates

Case templates define the structure for specific types of investigations. When creating a new case, you can select a template to pre-populate custom fields, set default priorities, and configure AI detection keywords for transcript analysis.

What Templates Include

  • Custom fields: Pre-defined fields tailored to the investigation type (e.g., a surveillance template might include Vehicle License Plate, Subject Description, and Location fields).
  • AI detection keywords: Keywords that are automatically highlighted in transcripts when the template is applied. For example, an insurance fraud template might include keywords like "ladder", "lifting", and "running".

Sources

  • AI-extracted: Generated automatically during template extraction (see above).
  • Manual: Created by admins in the template management interface.
  • Marketplace: Subscribed templates from other organizations.

Who Can Use AI Features

AI features require the Senior role or above (Senior, Admin, or Owner). This ensures AI-generated content is reviewed by experienced team members before being used in cases.

Organization admins can configure additional restrictions on AI feature access. See your organization settings for current policies.


AI Credits

All AI features consume credits from your plan's allocation. Credits are reserved before processing begins to prevent overuse.

Credits can also be earned through the referral program. Referral credits are combined with your tier allocation as a single pool.

Overage

If you exceed your monthly allocation, additional usage is billed at overage rates: $0.025/credit for Solo and above, or $0.05/credit for Gumshoe. See the Billing page for details.

Prepaid Packs

For heavy AI usage, purchase prepaid credit packs at discounted rates (20-40% off overage pricing). Prepaid credits expire 2 years after purchase and are consumed after your monthly allocation.


Video Analysis Defaults

Organization administrators can configure two separate video analysis defaults in Admin > AI Features. These settings operate independently:

Automatic Intake Trigger

When videos are promoted from document intake to case evidence, this setting determines whether analysis runs automatically. This is useful for organizations that process large volumes of surveillance video and want consistent analysis without manual intervention.

Options include:

  • None: No automatic analysis (default)
  • Motion Detection: Detect activity windows (~2 credits/min)
  • Object Detection: Detect people, vehicles, objects (~5 credits/min)
  • Smart Analysis: Motion + Objects on activity only (~3.5 credits/min, recommended)
  • Video Intelligence: Google Cloud API (~15 credits/min, premium)

Manual Pre-Selection Default

When a user opens the Analyze menu on a video manually, this setting determines which analysis type is pre-selected as "Recommended." Users can still choose a different analysis type. This setting does not trigger any automatic processing.

Credit Cost Disclaimer

All credit costs listed on this page are estimates. Actual costs may vary based on the complexity and size of the content being processed. Your remaining credit balance is always shown before you confirm any AI operation.

Auto-Create Clips

When using Smart Analysis or Video Intelligence, clips are automatically created from detected activity windows. This helps reviewers quickly navigate to relevant portions of long surveillance videos without manually scrubbing through hours of footage.

Auto-created clips are marked with their source (e.g., “Auto-created from smart analysis”) and can be renamed, trimmed, or deleted like any other clip.
